As an Executive Administrative Assistant, you will provide high-level administrative support to the President. The ideal candidate will have exceptional organizational and communication skills, be able to work independently, and prioritize tasks in a fast-paced construction environment. You will be responsible for managing project-related schedules, coordinating project meetings, making travel arrangements, and handling other administrative duties as required. The successful candidate will also be expected to maintain confidentiality and discretion while handling sensitive construction-related information.
Executive Administrative Assistant
Your Tasks
Provide administrative support to project and operational leadership.
Manage project-related schedules, coordinate project meetings, and communicate with project teams.
Make travel arrangements and prepare itineraries as needed.
Screen calls and emails and handle correspondence.
Prepare reports, presentations, and other documents as required.
Support maintenance of accurate and up to date files and records related to project.
Manage expenses related to project administration and reconcile credit card statements.
Maintain confidentiality and discretion while handling sensitive construction-related information.
Conduct research and gather information for various project-related tasks.
Handle other duties and responsibilities as assigned by the President.
Safety
Comply with all safety regulations.
Make colleagues aware of non-compliance with safety guidelines.
Other
Work closely with other departments to ensure lean cooperation.
Other duties as assigned.
Your Profile
Bachelor’s degree in Business Administration, Construction Management, or a related field preferred.
Proven work experience as an Executive Assistant or similar administrative role, preferably in the manufacturing or construction industry.
Excellent written and verbal communication skills.
Strong organizational and time-management skills.
Ability to work independently and prioritize tasks in a fast-paced construction environment.
Experience in making travel arrangements, preparing itineraries and expenses. Experience with SAP Concur preferred.
Ability to maintain confidentiality and discretion related to project and operations.
Strong attention to detail.
High level of proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
Ability to perform in a cross-cultural setting.
Risk Management Professional (RMP) or other similar certification is strongly preferred.
Open to obtaining additional certification at the company’s request.
